Hi all,

It was great to see some of you at the NEOA conference earlier this month.
One of the items on the agenda at our state meeting asked for people to
please update their contact information in our membership directory. I
apologize for the delay sending out these instructions about how to do
that. The membership database is a password-protected system that is not
available to the general membership, so I needed to modify the website to
allow the updating of contact information.

I have added a feature to the website whereby you can update your contact
information without renewing your membership. You can still renew your
membership or join MEEOA online the same as usual, but I have now added a
way to update your contact information without making any changes to your
membership status/renewal fields.

To update your contact information:

   1. Go to http://www.meeoa.org/join_meeoa_step1.php?id=4. A small form
   appears, with three steps.

   2. Enter your email address in step 1, choose your membership type
   (individual or program) in step 2, and and choose the option to Update
   Contact Information in step 3.

   3. The website will search for your information.
      - If your membership record is not found, you will receive an error
      message and a prompt to go back and try again (as well as a link to join
      MEEOA if your information is not in the database after multiple tries).

      - If multiple results are found, you'll see a list where you can
      choose the record you'd like to update. This may occur if you
are a project
      director with multiple program memberships (you will need to update them
      one at a time).

      - For most individual members, only one result will be found, and you
      will be taken directly to the form that contains your contact information.

      4. When the form appears with your contact information, make any
   desired changes and press the Submit button. The website will store your
   updated information, and you will not receive an invoice.


That is all you need to do to update your contact information. To renew
your membership or join MEEOA for the first time, the process is the same,
except you need to choose the Join/Renew option in step 2, and you will
receive an invoice at the end of the process.

I also wanted to provide a few reminders and clarification about renewing
your membership, especially with regard to program membership, as there
seemed to be a little bit of confusion about that, and there are also some
new programs in our association that may have questions about the
membership renewal process.


   1. The membership year runs from September 1 to August 31. While many
   people renew their membership when they register for the annual conference,
   membership is not specifically tied to the conference. You may renew your
   membership at any time during the year. The current cost of individual
   (professional) membership is $25, and the cost of a program membership is
   $75.

   2. There is a delay between the time you submit your membership and the
   time we receive your payment. This means that there will be cases in which
   our database shows that you submitted a membership renewal, but that it is
   not yet paid. As soon as we receive payment, we will update your membership
   record in our database to show that you have paid.

   3. If you are project director:
      - You must renew your individual/professional membership and your
      program membership(s) separately. You will need to complete the renewal
      process once for your individual membership, and once for each of your
      program memberships. As an example, if a project director supervises two
      TRIO programs, they would need to submit one individual
membership and two
      program memberships (each submitted separately).

      - You will receive a separate invoice for each membership. We
      currently do not have a way to submit a single membership renewal for
      multiple programs simultaneously. Each invoice should contain a line
      indicating the program name and the type of membership, so you can tell
      them apart if you have multiple program membership invoices.


If you would like to find out the current status of your individual and/or
program membership(s), please contact the membership chair, Lena Michaud (
[log in to unmask]). Lena can look up your records in our membership
database and tell you if your individual and/or program membership has been
submitted and/or paid for the current year.
